Event and Logistics Coordinator

Special Olympics Massachusetts’s mission is to provide year-round sports training and competition in a variety of Olympic-type sports for all children and adults with intellectual disabilities, giving them continuing opportunities to develop physical fitness, prepare for entry into school and community programs, demonstrate courage, experience joy and participate in the sharing of gifts, skills and friendships with their families, other Special Olympics athletes and the community.


The Events and Logistics Coordinator will be responsible for planning, organizing, managing & executing of events and programing for Special Olympics Massachusetts at all levels of the organization.  Position is also responsible for organization’s logistical needs and management of warehouse. Position is nonexempt position, 40 hours a week, Tuesday – Saturday, with overtime.



  • Ensure that policies, rules and regulations set forth by Special Olympics International and Special Olympics Massachusetts for all events and programing, are being followed at all levels of the organization
  • Lead the implementation of assigned events, programing, meetings or partnerships which include, but are not limited to:
    • Scheduling and confirming facilities and all related event logistics
    • Recruit, liaison and educate volunteer event management and leadership teams
    • Educating individuals participating in event, programing or meeting prior to arriving on site
    • Recruit and liaison and educate certified officials and officials boards
    • Educate and train volunteer groups
    • Lead staff member and or contact day of assigned event
  • Maintain a flexible work schedule that includes, coverage of Saturday programing either at Marlborough Headquarters or where assigned as well as night’s and Sunday’s when directed by supervisor
  • Responsible for management warehouse which includes:
    • Maintain an up to date inventory of all supplies and equipment stored in warehouse
    • Reordering all supplies before they reach critical low inventory numbers
    • Developing an equipment request & pack out policy
    • Coordinates packing out and restocking of equipment for all events, programing, and meetings across organization
    • Maintenance of all equipment
  • Actively manages, updates, develops equipment lists for all events and programing and meetings across organization by continually meeting with staff to determine needs for upcoming quarter
  • Creates a preferred vendor list through an RFP process and develops relationships with said vendors throughout the chapter, by region, to ensure best possible rates for Special Olympics Massachusetts
  • Work with local programs to supply or order uniforms and equipment
  • Ability to perform your duties, specifically those related to event execution, with a confident and calm demeanor
  • Perform other duties assigned by supervisor


Background Requirements:

  • Bachelor’s degree in related field
  • Minimum 0 to 2 years of experience in event management, sports management, project management, logistics management or related field required
  • Excellent interpersonal, organizational, communication, public speaking and relationship management skills
  • Ability to work as part of a team and also independently
  • Ability to multitask
  • Ability to lift 50+ pounds
  • Strong event planning and execution background, with exceptional attention to detail and ability to thrive in deadline driven environment
  • Proficiency in MS office Suite
  • Must be able and willing to work a flexible schedule including nights and weekends
  • Demonstrated proficiency in the following skills: Action oriented, Decision Quality, Dealing with Change & Uncertainty, Building Effective Teams, Customer Focused and Managing Vision & Purpose
